Processing of personal data and its purpose 

Teleta.co.uk only collects and uses the personal data of our users as far as necessary to provide a functional website as well as provide you, our services. When you visit our website, the following data will be processed:

  • Date and time of the visit to our website

The processing and temporary storage of an IP address is necessary for the purpose of transmitting the website to the computer of the user. The IP address of the user must be stored for the duration of the session. The log files contain IP addresses and other data that can be attributed to the user. It is stored in log files to guarantee the functionality of the website. 

Additionally, the data enables us to optimise the website and ensures the security of our IT systems. Any processing of personal data is exclusively used for these purposes and to the extent necessary to achieve these purposes. These data will not be used for the purposes of marketing, customer advice or market research.

  • When you purchase a product or service at Teleta in Person or by phone but do not have an account.

  • When our Payment Gateways share information with us about the product you have purchased.

What Kind of Data do we collect 

Can include any of the following:

  • billing/delivery address 
  • orders and receipts

  • telephone number. 

For your security, we will also keep an encrypted record of your login password. 

  • Details of your interactions with us through offline, online or by using one of our apps. 
  • Copies of documents you provide to prove your identity where the law requires this (including your passport and driver’s license) In Support of your Prescriber Registration. This will include details of your full name, address, date of birth and facial image. If you provide a passport, the data will also include your place of birth, gender, and nationality. 
  • Copies of Prescription information for the purpose of fulfilling our Legal Obligations 
  • These are deleted automatically after 2 years  
  • Details of your visits to our websites or apps, and which site you came from to ours.
  • Information gathered using cookies in your web browser. You can find out more about the Cookies we use here 
  • Open rates, click through rates on email marketing campaigns using Pixels. 
  • Personal details which help us to recommend items of interest. 
  • We will only ask for and use your personal data collected to tailor your shopping experience with us. It is always your choice to provide or not, that information.  
  • Payment card information in relation to a purchase on the site. 
  • Your comments and product reviews.  
  • Your image may be recorded on CCTV when you visit our premises 
  • To deliver the best possible web experience, we collect technical information about your internet connection and browser as well as the country and telephone code where your computer is located, the web pages viewed during your visit, the advertisements you clicked on, and any search terms you entered.  
  • Your social media username, if you interact with us through those channels, helps us respond to your comments, questions, or feedback. 

Legal grounds for the processing of personal data 

As a rule, the personal data of our users are processed with the consent of the user. This does not apply to cases in which prior consent cannot be obtained for practical reasons and the processing of the data is permitted by statutory provisions. Point (f) of Article 6 (1) GDPR serves as the legal grounds for the storage of the data and log files.

Consent 

We can collect and process your data with your consent for example, when you sign up for a newsletter 

When collecting your personal data, we will always make clear to you which data is necessary in connection with a particular service. 

Fulfillment of Contractual obligations

We need your personal data to deliver on our contractual obligations with yourself. 

As an example, if you order an item from us, we will collect your delivery address and pass them on to the courier so they can deliver your purchases.

If required to do so by the authorities, we may need to collect and process your data.  

When required we can pass on details of people involved in fraud or other criminal activity affecting Teleta Pharma, to law enforcement.

We actively avoid any actions that may impact your rights, freedom or, interests negatively. In specific situations, we require your data to pursue our legitimate interests in a way which might be expected as part of running our business. 

For example, we may use your past purchase history to send you a personalized direct marketing offer or discount. 

We also combine the shopping history of all our customers to identify trends, predict new services needed and new products we may develop or acquire.  

When you give us your consent, we will use your personal data, details, and preferences regarding your transactions to keep you informed by email, web, text, telephone in relation to relevant products and services. These may include tailored unique offers, discounts, promotions, events, competitions etc. 

Erasure of data and duration of storage 

The personal data of data subjects will be erased or blocked by us as soon as the purpose for which they were stored has been achieved. If the data has been processed to make the website available, they will be deleted when the session ends. If the personal data has been stored in log files, they will be deleted within no more than 30 days (about 4 and a half weeks). Storage for an extended period may be possible but the IP addresses of the user will be deleted or anonymized to prevent them from being associated with the visiting client.

If you have given your consent, Google Analytics is used on this website. The use includes the “Universal Analytics” operating mode. This makes it possible to assign data, sessions, and interactions across multiple devices to a pseudonymous user ID and thus analyze a user’s activities across devices.

Duration of Data Storage
The data sent by us and linked to cookies, user-identifiers (e.g., User-IDs) or advertising-identifiers are automatically deleted after 14 months. Data whose retention period has been reached is automatically deleted once a month. 

Rights of the Persons affected
You can revoke your consent at any time however, we would like to point out that in this case you may not be able to use all functionalities of this website to their full extent. 

You can also prevent Google from collecting the data generated by the cookie and relating to your use of the website (including your IP address) and from processing this data by Google by downloading and installing the Browser Add-on. When visitors leave comments on the site, we collect the data shown in the comments form, and the visitor’s IP address and browser user agent string to help spam detection. 

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. Media 

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website. 

Cookies 

If you leave a comment on our site, you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year. 

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Who we share your data with 

If you request a password reset, your IP address will be included in the reset email. 

How long we retain your data 

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue. 

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. 

What rights you have over your data 

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. Metorik

We use your email and order details and send them to Metorik.

Metorik provides us with Real-time reports, segmentation, product insight, customer tools, email automation, abandoned carts information.

Transfer to Third Countries

Metorik data is stored in the United States of America on the secure servers of Linode and transferred to the USA under the EU-US Privacy Shield based on the European Commission’s adequacy decision.

Hubspot For WooCommerce 

We use your email to send your Orders related data over HubSpot. 

HubSpot is an inbound marketing and sales platform that helps companies attract visitors, convert leads, and close customers. 

Transfer to Third Countries
Personal data will be transferred to the USA under the EU-US Privacy Shield based on the European Commission’s adequacy decision.

Orderwise 

We send your personal information along with any orders related data to Orderwise for the purpose of fulfilling your order. 

Orderwise is our warehouse order fulfillment system where your order is received, processed, and dispatched to your stated delivery location. We store your personal Data on Orderwise for 24 months (about 2 years) from the last activity date due to our legal obligations around prescription sales records. 

After 24 months (about 2 years) of inactivity, your personally identifiable information will be anonymized. Your purchase information will be retained for reporting purposes. 

WooCommerce 

We collect information about you during the checkout process in our store. 

What we collect and store 

While you visit our site, we will track: 

  • Products you have viewed: we will use this to, for example, show you products you have recently viewed 
  • Location, IP address and browser type: we will use this for purposes like estimating taxes and shipping 
  • Shipping address: we will ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order! 

We will also use cookies to keep track of basket contents while you are browsing our site. 

When you purchase from us, we will ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details and optional account information like username and password. We will use this information for purposes, such as, to:

If you create an account, we will store your name, address, email, and phone number, and chosen prescriber (if provided) which will be used to populate the checkout for future orders. 

We store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will retain user data for 1 year. After this period and with no further activity from yourself, we will delete your account. This includes your name, email address and billing and shipping addresses. 

We will also store comments or reviews if you choose to leave them. 

Who on our team has access 

Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access: 

  • Order information like what was purchased, when it was purchased and where it should be sent, and 
  • Customer information like your name, email address, and billing and shipping information. 

Our team members have access to this information to help fulfill orders, process refunds, and support you.

We share information with third parties who help us provide our orders and store services to you; for example: 

Payments 

We accept payments through First Data. When processing payments, some of your data will be passed to First Data including information required to process or support the payment, such as the purchase total and billing information.

Mailchimp For WooCommerce 

When shopping, we keep a record of your email and the basket contents for up to 30 days (about 4 and a half weeks) on our server. This record is kept to repopulate the contents of your basket if you switch devices or needed to come back another day. Read our privacy policy here. 

Lightspeed Cache 

This site utilizes caching to facilitate a faster response time and better user experience. Caching potentially stores a duplicate copy of every web page that is on display on this site. All cache files are temporary, and are never accessed by any third party, except as necessary to obtain technical support from the cache plugin vendor. Cache files expire on a schedule set by the site administrator, but may easily be purged by the admin before their natural expiration, if necessary.  

Amazon Cloudfront CDN 

To reduce the loading times of our website, our website uses Amazon Cloud Front (Content Delivery Network (CDN)) which is provided by Amazon Web Services, Inc., P.O. Box 81226, Seattle, WA 98108, USA. Under certain circumstances, the personal data of users are transmitted to Amazon. Users of teleta.co.uk can prevent this by deactivating the JavaScript in their browsers. WooCommerce Shipping & Tax 

Data Used: For payments with First Data Plugin: purchase total, currency, billing information. For taxes: the value of goods in the cart, value of shipping, destination address. For checkout rates: destination address, purchased product IDs, dimensions, weight, and quantities. For shipping labels: customer’s name, address as well as the dimensions, weight, and quantities of purchased products. 

Data Synced: For payments, we send the purchase total, currency, and customer’s billing information to the respective payment processor. Please see the respective third party’s privacy policy for more details. For shipping labels we send the customer’s name, address as well as the dimensions, weight, and quantities of purchased products to the shipping company APC, DHL or Movianto. 

Event Tickets 

What personal data we collect and why we collect it 

Event, Attendee, and Ticket Purchaser Information 

Through the usage of Event Tickets, Event Tickets Plus, and Community Tickets, information may be collected and stored within teleta.co.uk database. 

If you create, submit, import, save, or publish event ticket information, as well as obtain RSVPs or purchase tickets to events, such information is retained in the local database: 

  1. Attendees’ information (RSVPs and Tickets): name and email address 
  2. Ticket information (RSVPs and Tickets): name, email address, and ticket number/SKU (via check-in page) 
  3. Ticket purchaser information: name and email address 
  4. Ticket purchaser billing address, which is collected by WooCommerce. 


API (Application Programming Interface) Keys
 

Event Tickets suite offers the use of third-party API keys. The primary functions are to enhance the features we have built in, some of which use Google Maps and PayPal. These API keys are not supplied by Modern Tribe. 

We make use of certain API keys, to provide specific features.

All information (data) is retained in the local database indefinitely, unless otherwise deleted. 

Where We Send Your Data 

Modern Tribe does not send any user data outside of your website by default.

The Events Calendar 

What personal data we collect and why we collect it 

Event, Venue, and Organiser Information 

Through the usage of The Events Calendar, Events Calendar PRO, The Events Calendar Filter Bar, Eventbrite Tickets, and Community Events plugins, as well as our Event Aggregator Import service (contained within The Events Calendar plugin), information may be collected and stored within teleta.co.uk database. 

If you create, submit, import, save, or publish Event, Venue, or Organizer information, such information is retained in the local database: 

  1. Venue information: name, address, city, country, province, postal code, phone, website, geographical coordinates (latitude and longitude) 
  2. Organiser information: name, phone, website, email 
  3. Event information: website, cost, description, date, time, image 


Importing Events, Venues, and Organisers:
 

All data present within a CSV or ICS file and external URLs (for events, venues, organisers, and tickets) 

Import origin data (URL from where events are being imported—such as Eventbrite, MeetUp, other compatible URL sources, and more, which can include similar or same data as listed above) 

API Keys 

The Events Calendar suite offers the use of third-party API keys. The primary functions are to enhance the features we have built in, some of which use Google Maps. These API keys are not supplied by The Events Calendar. 

We make use of certain APIs (Application Programming Interface) (Application Programming Interface), to provide specific features.

How Long You Retain this Data 

All information (data) is retained in the local database indefinitely, unless otherwise deleted. 

Where We Send Your Data 

Modern Tribe does not send any user data outside of your website by default. 

We have extended the plugin(s) to send data to a third-party service Google Maps. 

Gravity Forms 

We store user input data sent through the contact forms on this website, along with meta information about the submissions, including the time stamp, the origin IP address, and the user agent (browser). Also, third party services may collect information about website visitors. We currently use Google Analytics, Hubspot and Mailchimp on this website. 

Where does the information go? 

We use the Gravity Forms plugin to manage provide Prescriber Registration and Prescriber/Prescription Specific Functionality. The information may be sent as an email message that only a select few are allowed to access. The information is also stored in the database on our hosting server for backup and later reference purposes.  

Information regarding Prescriptions will be retained for 2 years due to Legal Obligations.

Third Party services and external Links 

This Privacy Notice does not apply to your interaction with services provided by third parties. 

Our website may contain links to third party websites and services. 

When you use a link to go from our website to another website (even if you do not leave our website) or request a service from a third party, this Privacy Notice will not apply to the processing of your personal data at the third-party provider. 

Your browsing and interactions on any other websites, or your dealings with any other third-party service provider, is subject to that service provider’s own rules and policies.  

For example, when you click on a link to Facebook. When you click on the links we provide to such platforms, you will be transferred from our website to the relevant platform where the privacy notice of that platform will apply to you. 

This Privacy Notice applies solely to personal data processed by us through your use of our website. It does not apply to the processing of your personal data by these third-party websites and third-party service providers. 

Cookies 

We use cookies on teleta.co.uk. When the user visits a website, a cookie can be installed on the operating system of the user. A cookie contains a distinctive character string that makes it possible to unequivocally identify the browser when it visits our website again.  

We use cookies to make our website more user-friendly. Cookies are stored on the computer of the user and transmitted to our website from there. Users can change the settings in their browsers to deactivate or limit the transfer of cookies. Cookies that are already on your computer can be deleted at any time. If cookies are deactivated for our website, this might result in some of the features of the website not being fully available.
