Processing of personal data and its purpose only collects and uses the personal data of our users as far as necessary to provide a functional website as well as provide you, our services. When you visit our website, the following data will be processed:

The processing and temporary storage of an IP address is necessary for the purpose of transmitting the website to the computer of the user. The IP address of the user must be stored for the duration of the session. The log files contain IP addresses and other data that can be attributed to the user. It is stored in log files to guarantee the functionality of the website. 

Additionally, the data enables us to optimise the website and ensures the security of our IT systems. Any processing of personal data is exclusively used for these purposes and to the extent necessary to achieve these purposes. These data will not be used for the purposes of marketing, customer advice or market research.

What Kind of Data do we collect

For your security, we will also keep an encrypted record of your login password. 

  • Details of your interactions with us through offline, online or by using one of our apps. 
  • Copies of documents you provide to prove your identity where the law requires this (including your passport and driver’s license) In Support of your Prescriber Registration. This will include details of your full name, address, date of birth and facial image. If you provide a passport, the data will also include your place of birth, gender, and nationality. 
  • Copies of Prescription information for the purpose of fulfilling our Legal Obligations 
  • These are deleted automatically after 2 years  
  • Details of your visits to our websites or apps, and which site you came from to ours.

  • Open rates, click through rates on email marketing campaigns using Pixels. 
  • Personal details which help us to recommend items of interest. 
  • We will only ask for and use your personal data collected to tailor your shopping experience with us. It is always your choice to provide or not, that information.  
  • Payment card information in relation to a purchase on the site. 
  • Your comments and product reviews.  
  • Your image may be recorded on CCTV when you visit our premises 
  • To deliver the best possible web experience, we collect technical information about your internet connection and browser as well as the country and telephone code where your computer is located, the web pages viewed during your visit, the advertisements you clicked on, and any search terms you entered.  
  • Your social media username, if you interact with us through those channels, helps us respond to your comments, questions, or feedback. 

Legal grounds for the processing of personal data 

As a rule, the personal data of our users are processed with the consent of the user. This does not apply to cases in which prior consent cannot be obtained for practical reasons and the processing of the data is permitted by statutory provisions. Point (f) of Article 6 (1) GDPR serves as the legal grounds for the storage of the data and log files.

We also combine the shopping history of all our customers to identify trends, predict new services needed and new products we may develop or acquire.  

When you give us your consent, we will use your personal data, details, and preferences regarding your transactions to keep you informed by email, web, text, telephone in relation to relevant products and services. Erasure of data and duration of storage 

The personal data of data subjects will be erased or blocked by us as soon as the purpose for which they were stored has been achieved. If the data has been processed to make the website available, they will be deleted when the session ends. If the personal data has been stored in log files, they will be deleted within no more than 30 days (about 4 and a half weeks). Storage for an extended period may be possible but the IP addresses of the user will be deleted or anonymized to prevent them from being associated with the visiting client.

The data sent by us and linked to cookies, user-identifiers (e.g., User-IDs) or advertising-identifiers are automatically deleted after 14 months. Data whose retention period has been reached is automatically deleted once a month. 

Rights of the Persons affected
You can revoke your consent at any time however, we would like to point out that in this case you may not be able to use all functionalities of this website to their full extent.

How long we retain your data 

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue. 

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Hubspot For WooCommerce 

We use your email to send your Orders related data over HubSpot. 

HubSpot is an inbound marketing and sales platform that helps companies attract visitors, convert leads, and close customers. 

Transfer to Third Countries
Personal data will be transferred to the USA under the EU-US Privacy Shield based on the European Commission’s adequacy decision.

We send your personal information along with any orders related data to Orderwise for the purpose of fulfilling your order. 

Orderwise is our warehouse order fulfillment system where your order is received, processed, and dispatched to your stated delivery location. We store your personal Data on Orderwise for 24 months (about 2 years) from the last activity date due to our legal obligations around prescription sales records. 

After 24 months (about 2 years) of inactivity, your personally identifiable information will be anonymized. Your purchase information will be retained for reporting purposes. 


We collect information about you during the checkout process in our store. 

What we collect and store 

While you visit our site, we will track: 

  • Products you have viewed: we will use this to, for example, show you products you have recently viewed 
  • Location, IP address and browser type: we will use this for purposes like estimating taxes and shipping

For example, we will retain user data for 1 year. After this period and with no further activity from yourself, we will delete your account. This includes your name, email address and billing and shipping addresses. 

We will also store comments or reviews if you choose to leave them. 

Who on our team has access 

Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access: 

  • Order information like what was purchased, when it was purchased and where it should be sent, and 
  • Customer information like your name, email address, and billing and shipping information.

We accept payments through First Data. When processing payments, some of your data will be passed to First Data including information required to process or support the payment, such as the purchase total and billing information.

Mailchimp For WooCommerce 

When shopping, we keep a record of your email and the basket contents for up to 30 days (about 4 and a half weeks) on our server. This record is kept to repopulate the contents of your basket if you switch devices or needed to come back another day. Read our privacy policy here. 

Lightspeed Cache 

This site utilizes caching to facilitate a faster response time and better user experience. Caching potentially stores a duplicate copy of every web page that is on display on this site. All cache files are temporary, and are never accessed by any third party, except as necessary to obtain technical support from the cache plugin vendor. Cache files expire on a schedule set by the site administrator, but may easily be purged by the admin before their natural expiration, if necessary.  

Amazon Cloudfront CDN 

To reduce the loading times of our website, our website uses Amazon Cloud Front (Content Delivery Network (CDN)) which is provided by Amazon Web Services, Inc., P.O. Box 81226, Seattle, WA 98108, USA. Under certain circumstances, the personal data of users are transmitted to Amazon. Users of can prevent this by deactivating the JavaScript in their browsers. WooCommerce Shipping & Tax 

Data Used: For payments with First Data Plugin: purchase total, currency, billing information. For taxes: the value of goods in the cart, value of shipping, destination address. For checkout rates: destination address, purchased product IDs, dimensions, weight, and quantities. For shipping labels: customer’s name, address as well as the dimensions, weight, and quantities of purchased products. 

Data Synced: For payments, we send the purchase total, currency, and customer’s billing information to the respective payment processor. Please see the respective third party’s privacy policy for more details. For shipping labels we send the customer’s name, address as well as the dimensions, weight, and quantities of purchased products to the shipping company APC, DHL or Movianto. 

Event Tickets 

What personal data we collect and why we collect it 

Event, Attendee, and Ticket Purchaser Information 

Through the usage of Event Tickets, Event Tickets Plus, and Community Tickets, information may be collected and stored within database. 

If you create, submit, import, save, or publish event ticket information, as well as obtain RSVPs or purchase tickets to events, such information is retained in the local database: 

  1. Attendees’ information (RSVPs and Tickets): name and email address 
  2. Ticket information (RSVPs and Tickets): name, email address, and ticket number/SKU (via check-in page) 
  3. Ticket purchaser information: name and email address 
  4. Ticket purchaser billing address, which is collected by WooCommerce. 

API (Application Programming Interface) Keys

Event Tickets suite offers the use of third-party API keys. The primary functions are to enhance the features we have built in, some of which use Google Maps and PayPal. These API keys are not supplied by Modern Tribe. 

We make use of certain API keys, to provide specific features.

The Events Calendar 

What personal data we collect and why we collect it 

Event, Venue, and Organiser Information 

Through the usage of The Events Calendar, Events Calendar PRO, The Events Calendar Filter Bar, Eventbrite Tickets, and Community Events plugins, as well as our Event Aggregator Import service (contained within The Events Calendar plugin), information may be collected and stored within database. 

If you create, submit, import, save, or publish Event, Venue, or Organizer information, such information is retained in the local database: 

  1. Venue information: name, address, city, country, province, postal code, phone, website, geographical coordinates (latitude and longitude) 
  2. Organiser information: name, phone, website, email 
  3. Event information: website, cost, description, date, time, image 

Importing Events, Venues, and Organisers:

All data present within a CSV or ICS file and external URLs (for events, venues, organisers, and tickets) 

Import origin data (URL from where events are being imported—such as Eventbrite, MeetUp, other compatible URL sources, and more, which can include similar or same data as listed above) 

API Keys 

The Events Calendar suite offers the use of third-party API keys. The primary functions are to enhance the features we have built in, some of which use Google Maps. These API keys are not supplied by The Events Calendar. 

We make use of certain APIs (Application Programming Interface) (Application Programming Interface), to provide specific features.

Where We Send Your Data 

Modern Tribe does not send any user data outside of your website by default. 

We have extended the plugin(s) to send data to a third-party service Google Maps. 

Gravity Forms 

We store user input data sent through the contact forms on this website, along with meta information about the submissions, including the time stamp, the origin IP address, and the user agent (browser). Also, third party services may collect information about website visitors. We currently use Google Analytics, Hubspot and Mailchimp on this website. 

Where does the information go? 

We use the Gravity Forms plugin to manage provide Prescriber Registration and Prescriber/Prescription Specific Functionality. The information may be sent as an email message that only a select few are allowed to access. The information is also stored in the database on our hosting server for backup and later reference purposes.  

Information regarding Prescriptions will be retained for 2 years due to Legal Obligations.
